HR Assistant

Location: Cardiff
Employment Type: Full-Time

Salary: £29,000 per annum to increase to £29,500 after successful completion of 6 month probation period.

Orbis Education is committed to fostering a supportive and efficient workplace. We seek a dedicated HR Assistant to join our team, providing vital support in employee relations, compliance, and administration to help us maintain high standards and achieve our mission.

Purpose of Role
To support managers and staff with all employee relations issues and ensure full compliance with legal and regulatory standards in a coach/guide/support capacity.
Office based role with 1 day per week working from home.

Core Responsibilities

Employee Relations

  • Support HR team with grievances, disciplinaries, wellbeing, and absence issues.
  • Coordinate meetings, including invitations and documentation.
  • Ensure accuracy and organisation of paperwork for formal meetings and tribunals.

HR Documentation/Administration

  • Maintain and update employee records on HRIS.
  • Administer contractual changes and issue employment contracts.
  • Handle DBS renewals and Visa/Sponsorship responsibilities.
  • Manage end-to-end employee lifecycle documentation.
  • Provide reports and collate survey results for HRBP and CPO.
  • Support administration for HR events and maintain email accounts.

HR Support

  • Respond to general queries from managers and employees.
  • Assist with archiving personnel records and issuing references.
  • Answer calls to the HR Support Centre, providing first-line advice.

Projects

  • Support corporate projects and company initiatives as needed.

General

  • Maintain confidentiality and comply with Data Protection Act.
  • Adhere to Health, Safety, and Environmental Policy.
  • Promote equality and diversity within the organization.
  • Participate in new starter inductions and conduct management training.
  • Work collaboratively with a coach/guide/support approach.
  • Ability to manage a heavy workload and have excellent time management/prioritising skills

Grade Specifications

  • Preferred knowledge in social care sector, employment law, and policy development.
  • Essential knowledge of employment contracts and GDPR.
  • Desirable safeguarding and DBS experience.
  • IT literacy and experience in Visa and Sponsorships.
  • Strong communication skills, both written and spoken.

Qualifications

  • CIPD Level 3 or working towards.
  • Good general standard of education.
  • Willingness to work towards CIPD Level 5.

Training

  • Care Shield 100% completion for Mandatory, Service Specific & CPD Courses.

Skills & Experience

  • Experience in a similar role, dealing with employee relations cases.
  • Preferred experience within a regulated environment.
  • Proven ability to build strong relationships with stakeholders.
  • Strong administrative skills.
