The primary duties and responsibilities of the Document Controller / Information Manager are outlined as follows:
Document Control:
Document Management: Maintain our process for efficient information management, tracking all incoming and outgoing project documentation within our cloud-based document management system.
Quality Assurance: Ensure all documents meet the company’s quality standards and meet project requirements.
Document Distribution: Distribute information to relevant stakeholders, ensuring timely and accurate notification.
Version Control: Manage document revisions and ensure the most current versions are available to the team.
Archiving: Archive project documents per the company’s document retention policies.
Compliance: Ensure all documentation complies with legal, contractual, and company standards.
Information Management:
Digital Delivery: Help set up, maintain, and manage the document management platform (CDE) for digital project delivery.
Data Integrity: Ensure digital information accuracy, completeness, and consistency.
Collaboration: Facilitate collaboration among project teams by managing information workflows and ensuring all relevant parties have access to the necessary data.
Training:
Provide training and support to project teams on document control procedures and guide best practice digital processes.
Standards Compliance: Ensure all activities undertaken on the CDE during project delivery comply with industry standards and project requirements.
Reporting:
Generate reports on document control and BIM information management activities for the Senior management team and stakeholders.
Workflow and Permissions Management:
Workflow Setup: Develop and implement efficient information review and approval workflows.
Review Processes: Coordinate and manage the information management review process, ensuring timely feedback and approvals.
Permission Assignment: Assign appropriate access permissions to users within the CDE, ensuring data security and compliance are paramount.
Data Compliance: Monitor and ensure compliance with CDE data management policies and procedures.
Knowledge, Skills, and Experience:
The prior knowledge, skills and experience required of the Digital Coordinator are outlined as follows:
Qualifications:
Education:
Bachelor’s degree in information management, Construction Management, Engineering, or a related field is desirable.
Experience:
A minimum of three years of experience in document control, with at least one year of experience in BIM project environments.
Skills:
Proficiency in document control software (e.g., BIM 360/ACC, ProjectWise, Aconex, Procore, Viewpoint) and BIM tools (e.g., Autodesk Revit, Navisworks).
Strong organisational skills and attention to detail.
Excellent communication and interpersonal skills.
Ability to work independently and as part of a team.
Understanding the relevant Digital/BIM standards (ISO19650 or previously PAS1192) is desired .
