Job Summary

To be responsible for undertaking a wide range of administrative duties and the provision of administrative support to senior management and multidisciplinary clinical teams.

Qualifications – Essential

  • Be educated to GCSE-level as a minimum with grade C or above in English and Maths

  • Possess excellent verbal and written communication skills and be able to communicate clearly and confidently with internal and external contacts
  • Have a high level of attention to detail.
  • Good working knowledge of MS Office Suite, especially Word and Excel and Outlook email.
  • Good ability to create and manage financial data.
  • Able to analyse data and create reports
  • Ability to work under pressure and meet strict deadlines

Skills and Abilities – Desirable

  • Working knowledge of clinical system SystmOne

Experience – Essential

  • Have 12-month minimum previous experience of working in administration or secretarial role in a hospital or other healthcare setting

Duties of this role include:

  • Management of various company email inboxes. To action all incoming emails and tasks as required in a timely fashion daily.
  • To be responsible for patient pathway management and ensuring daily operations around clinical admin and patient care run smoothly.
  • Booking patient appointments and dealing with patient queries
  • To create and manage financial overviews for clinical services.
  • Input patient and other data into logs/clinical systems as required in an accurate and timely manner
  • To conduct audits and produce reports as required.
  • To facilitate clinicians to be able to meet the KPIs of their service.
  • Rota management for clinical staff
  • Maintain accurate databases of clinical queries and communications
  • Marketing administration and digital distribution
  • Be the main point of contact with external agencies such as Hospital Trusts for clinical admin queries
  • To ensure that all communications (written and verbal) are passed onto the relevant person in a timely and accurate manner.
  • To attend meetings and take minutes as required
  • To support the CEO, management team and all clinical staff with general administrative requests as required
  • Type up letters, reports, SOPs and associated documentation as required.
  • To report all untoward incidents promptly to their line manager or as per the Incident Reporting Policy
  • To liaise with the manager to identify problems relating to client dissatisfaction
  • To perform any other duties which may be required, and to provide cover for other members of the team due to absence when necessary.
  • To have a thorough knowledge of company policies and procedures and adhere to them.

The role is subject to a satisfactory DBS check and 2 satisfactory professional references.

Job Types: Full-time, Permanent

Pay: £23,900.00-£24,500.00 per year
