Overview:

We are seeking a proactive, highly organized, and compassionate Care Home Administrator to join our privately owned care home in sound Croydon. As an integral part of our team, you will be responsible for supporting both the care of our clients and the efficient running of the home. You will work closely with the care staff, management, and clients, ensuring that the highest standards of care and operational efficiency are maintained.

Key Responsibilities:

Client Care and Wellbeing

  • Monitor the care of residents and assist in ensuring their individual needs are met, providing a warm and supportive environment.
  • Ensure that care plans are up-to-date and accurately reflect the needs of each resident.
  • Coordinate with the care team to ensure that daily routines, activities, and special requests are managed effectively.
  • Address any concerns or queries from residents or their families in a timely and professional manner.

Staff Management and Support

  • Assist with scheduling and overseeing staff shifts, ensuring adequate staffing levels at all times.
  • Support recruitment processes, including interviewing, onboarding, and training new staff members.
  • Ensure that staff are adhering to care protocols and maintain high standards of professionalism and care.
  • Provide support to staff by addressing day-to-day concerns and promoting a positive and efficient work environment.
  • Facilitate staff development, training, and appraisals as required.

Management and Administrative Support

  • Manage and prioritize the workload of the care home management team, ensuring that deadlines and priorities are consistently met.
  • Maintain accurate records for residents, including medical documents, care plans, and incident reports.
  • Support the manager with budgeting and financial management tasks.
  • Ensure compliance with all relevant regulations, policies, and quality standards, and assist with audits when required.
  • Organize and coordinate meetings, documentation, and reports for senior management.

Time Management and Coordination

  • Act as a central point of contact between clients, staff, and management, ensuring smooth communication across all parties.
  • Prioritize daily tasks and responsibilities to ensure operational tasks are handled efficiently.
  • Manage day-to-day administrative duties such as filing, correspondence, and maintaining a clean and organized office.
  • Monitor and track key performance indicators (KPIs) for both care delivery and operational efficiency.

Health & Safety and Compliance

  • Ensure the care home is fully compliant with all health and safety regulations, including infection control and safeguarding policies.
  • Assist with the implementation of care home policies and ensure that both staff and clients adhere to them.
  • Organize and assist with routine inspections, reviews, monthly and quarterly audits.

Skills and Qualifications:

  • Proven experience in an administrative role, preferably within a care home or healthcare setting.
  • Strong organizational skills and the ability to manage multiple priorities simultaneously.
  • Excellent communication skills, both written and verbal.
  • Good understanding of care home regulations and compliance requirements.
  • Empathy, patience, and the ability to work well with vulnerable individuals.
  • Ability to work well under pressure and maintain professionalism in all circumstances.
  • Strong IT skills, including proficiency with office software (Microsoft Office Suite) and care management systems.
  • A proactive and adaptable attitude with the ability to work independently and as part of a team.

Preferred Qualifications:

  • NVQ Level 3 in Health & Social Care or similar qualification.
  • Previous experience in staff management or supervisory roles.
  • Understanding of financial management and budgeting in a care setting.

Job Types: Part-time, Permanent

Pay: £11.45-£11.75 per hour

Expected hours: 25 per week
